Job Description :
The Executive Assistant (EA) to the Director provides high-level administrative, strategic, and operational support. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities while serving as a critical link between the MD and internal/external stakeholders.
Key Responsibilities:
1. Administrative & Operational Support
•
Manage the calendar, schedule meetings, and coordinate travel arrangements.
•
Prepare agendas, presentations, and minutes for meetings, reviews, and key discussions.
•
Track deadlines, commitments, and follow-ups to ensure timely execution.
•
Handle confidential documents and correspondence with utmost discretion.
•
Handle HR & Office Admin related task given by the Director.
2. Communication & Liaison
•
Act as the point of contact between the Director and internal teams, clients, government officials, and industry bodies.
•
Draft, review, and manage professional correspondence, reports, and briefing notes.
•
Maintain all communication records and documents of the organisation in soft copy and hard copy.
•
Ensure effective communication flow between departments and the Director office.
3. Strategic & Business Support
•
Conduct research, analyze data, and prepare reports to assist in decision-making.
•
Support in monitoring business projects, performance metrics, and strategic initiatives.
•
Assist in preparing proposals, speeches, and presentations for public/industry events.
•
Maintain an overview of industry trends, competitor activities, and regulatory developments relevant to the business.
4. Event & Stakeholder Management
•
Coordinate meetings, conferences, and official events involving the Director.
•
Liaise with external stakeholders, partners, and government/industry representatives and offices.
•
Ensure hospitality and protocol arrangements for VIP meetings.
